Description:
We’re looking for a highly organized Virtual Assistant to provide administrative and operational support to our remote team. You’ll manage calendars, book appointments, and ensure that all scheduled meetings run smoothly and are well-coordinated. You’ll assist with email management, filtering messages, responding promptly, and organizing communication for the team’s convenience. You’ll assist with document preparation, managing files, and maintaining a well-organized system for easy access to key information. You’ll assist in creating reports, presentations, and documents, ensuring that everything is professionally prepared. You’ll handle customer service tasks, responding to inquiries, resolving issues, and ensuring client satisfaction. You’ll handle customer inquiries and ensure a positive experience by providing timely and professional responses. You’ll handle social media scheduling, posting, and interactions to keep the brand’s online presence active and engaging. You’ll handle administrative tasks such as managing contacts, preparing internal communications, and coordinating team projects.
Basic Qualifications:
- Track recurring tasks like invoice reminders, renewal deadlines, or customer follow-ups using simple automations.
- Prepare weekly summaries or reports of completed tasks, pending items, and upcoming deadlines.
- Support remote teams by jumping into short-term projects like research, outreach, or organizing launches.
- Balance multiple tasks without getting overwhelmed—prioritize, communicate, and stay focused on impact.
- Help streamline workflows by suggesting time-saving tools or tactics you’ve learned.
Preferred:
- Wants to grow into roles like Executive Assistant, Project Coordinator, or Operations Manager.
- Background or interest in business support, operations, admin, or remote work systems.
- Strong organizational skills and ability to manage multiple tasks efficiently.
- Capable of tracking tasks and progress using project management platforms.
- Experience preparing reports, summaries, or presentations from raw data is a plus.
