Description:
We’re looking for an Event Coordinator who thrives on logistics, creativity, and making sure nothing falls through the cracks — ever. You’ll plan and execute events that aren’t just organized — they’re inspired, unexpected, and deeply felt. You’ll work side-by-side with experienced coordinators, shadowing real projects from initial planning through post-event feedback. You’ll work directly with stakeholders, speakers, sponsors, and internal teams to make sure expectations are clear and outcomes are met. You’ll source venues, negotiate pricing, and coordinate catering, tech, staffing, and transportation with efficiency and professionalism. You’ll handle vendor calls, permits, insurance, and setup plans — then turn around and finesse the vibe of the guest arrival flow. You’ll help scout venues, collect quotes, draft emails, and manage timelines that span dozens of people and tasks. You’ll balance logistics and hospitality — making sure the space is welcoming without sacrificing execution or timelines. You’ll manage RSVPs, registrations, check-ins, and follow-ups using event management software and CRM tools.
Basic Qualifications:
- Coordinate with clients, internal teams, or stakeholders to understand event objectives, goals, and expectations.
- Gather post-event feedback through surveys, debriefs, or analytics to identify areas for improvement and measure success.
- Handle on-the-ground decision-making during events—problem-solving quickly when faced with weather issues, technical glitches, or vendor delays.
- Remain calm under pressure—event day is fast-paced, and flexibility is key to success.
- Monitor RSVP trends and send reminders or updates to ensure strong attendance and guest engagement.
Preferred:
- Pays attention to attendee experience, flow of the event, and brand consistency.
- Able to create event timelines, budgets, and checklists to ensure smooth operations.
- Able to support both intimate meetings and larger conferences, launches, or networking events.
- Strong organizational skills and attention to detail when managing multiple event elements.
- Willing to support setup, breakdown, and cleanup tasks during in-person events.
Benefits:
- We celebrate logistics that click, unexpected problems solved, and clients who say “we couldn’t have done this without you.”
- You’ll oversee real events from concept to cleanup — vendor calls, run sheets, guest lists, and all the magic in between.
- If you love planning, anticipating, and pulling off the impossible — this is your playground.
- You’ll help shape the experience — from check-in flows to backstage timing to final follow-up emails.
- If you get a thrill from packed schedules, polished signage, and knowing every name on the guest list — welcome to your dream job.
You’ll source everything from risers to fog machines and know who to call when something breaks 30 minutes before doors open. You’ll write production schedules, manage rehearsals, and keep the crew moving with kindness and control. You’ll gather feedback, report results, and use every event to learn and raise the bar for the next one. You’ll meet people in this industry who are sharp, funny, organized, and weirdly obsessed with badge fonts — and you’ll probably find your people. You’ll treat deadlines seriously, communicate proactively, and bring clarity to every step of the process. You’ll represent the company to clients, guests, and partners — with professionalism, polish, and confidence. You’ll work across multiple events at once, managing priorities without dropping details or missing follow-ups. If you dream in floorplans and lighting cues and live for the feeling when the room comes alive — this is your place.
