Description:

We’re looking for a Receptionist Trainee who brings a positive attitude, a willingness to learn, and a genuine interest in helping people feel welcome. As the face of our workplace, you’ll help ensure that every guest, client, or delivery person is greeted with courtesy and clarity. You’ll be coached on how to maintain a calm and helpful tone, even when the phone won’t stop ringing or someone walks in without an appointment. You’ll practice answering the phone with professionalism, transferring calls accurately, and writing clear, concise messages. You’ll learn to manage appointment calendars, meeting schedules, and visitor logs with accuracy and care. You’ll learn how to juggle tasks while maintaining a polite, welcoming attitude — even when things get hectic. You’ll use basic tools like Google Calendar, email clients, and spreadsheets — we’ll show you how if it’s new to you. You’ll get comfortable with basic office tools and software, including spreadsheets, email systems, and scheduling tools. You’ll work closely with HR, office management, and sometimes even company leadership — learning how communication flows in a real business.

Basic Qualifications:

  • Handle emergency situations responsibly, including knowing who to contact and what procedures to follow.
  • Maintain visitor logs, issue badges if required, and ensure guests are signed in and out.
  • Balance multitasking with attention to detail in a fast-paced environment.
  • Take pride in creating a front desk experience that feels organized, approachable, and warm.
  • Manage the front desk area by keeping it clean, organized, and presentable at all times.

Preferred:

  • Able to greet guests, answer phone calls, and direct inquiries to the appropriate person or department.
  • Willing to support HR, operations, or executive assistants with light clerical tasks when available.
  • Comfortable working with diverse clients, guests, or team members from different backgrounds.
  • Comfortable managing appointments, calendars, and visitor logs with accuracy and attention to detail.
  • Thrives in structured, people-oriented environments where communication and coordination matter.
