Description:
We’re looking for an Event Coordinator Intern who’s already been organizing things their whole life — now it’s time to do it professionally. You’ll be responsible for organizing conferences, seminars, corporate meetings, and partner activations from planning to execution. You’ll work side-by-side with experienced coordinators, shadowing real projects from initial planning through post-event feedback. You’ll turn vague ideas into real schedules, real venues, and real moments people remember. You’ll handle the not-so-glamorous stuff — permits, checklists, catering allergies — with just as much passion as the stage design. You’ll build detailed run-of-show documents, production schedules, and contingency plans that keep things on track — even when surprises arise. You’ll lead walkthroughs with a vision and a clipboard, always knowing how to translate chaos into clarity. You’ll sketch room layouts, test lighting angles, and debate over which color tape works best on black floor tiles. You’ll manage RSVPs, registrations, check-ins, and follow-ups using event management software and CRM tools.
Basic Qualifications:
- Prepare and distribute event materials such as name badges, programs, agendas, signage, or welcome kits.
- Monitor RSVP trends and send reminders or updates to ensure strong attendance and guest engagement.
- Coordinate with clients, internal teams, or stakeholders to understand event objectives, goals, and expectations.
- Manage guest lists, RSVPs, invitations, and registration systems—whether for conferences, weddings, brand activations, or team offsites.
- Maintain an organized archive of past event details—contacts, budgets, photos, and timelines—for reference and future planning.
Preferred:
- Can help create presentation slides, agendas, name tags, or event handouts.
- Able to create event timelines, budgets, and checklists to ensure smooth operations.
- Experience assisting in the planning and execution of corporate, social, or virtual events.
- Wants to grow into roles like Event Manager, Brand Experience Lead, or Conference Producer.
- Able to support both intimate meetings and larger conferences, launches, or networking events.
