Description:

We’re searching for a Secretary Intern who’s detail-oriented, organized, and ready to learn how professional offices stay on track behind the scenes. You’ll assist in organizing documents, updating digital records, and learning how structured systems keep things running smoothly. You’ll help answer phones, direct calls professionally, and make sure every message is passed on correctly and promptly. You’ll be trained to handle incoming and outgoing mail, prepare basic correspondence, and format documents for internal and external use. You’ll observe how to prioritize tasks, manage daily checklists, and keep work flowing even during busy hours. You’ll help set up for meetings by printing materials, arranging rooms, and taking accurate meeting notes when needed. You’ll be introduced to document management systems, cloud storage tools, and shared calendars used by the whole team. You’ll support document control by updating databases, naming files clearly, and keeping records consistent and accessible. You’ll learn how to stay organized across multiple requests and how to create checklists that actually work in practice.

Basic Qualifications:

  • Track office supplies and place orders to ensure everything runs smoothly day to day.
  • Uphold a calm, courteous presence even in a fast-paced, demanding environment.
  • Manage time effectively—juggling tasks without letting the details slip.
  • Help plan and set up internal events, team meetings, or small office celebrations.
  • Anticipate scheduling conflicts or logistical issues before they become a problem.

Preferred:

  • Excellent communication skills with the ability to greet visitors, screen calls, and assist clients or colleagues courteously.
  • Pays close attention to confidentiality and data protection when handling sensitive information.
  • Background or interest in administration, office management, communication, or organizational support.
  • Familiar with using CRM systems, HR software, or document management platforms.
  • Organized in maintaining paper and digital filing systems for quick and accurate document retrieval.
