Description:
We’re offering a receptionist trainee role for someone who’s ready to grow their confidence and gain experience in a professional office setting. You’ll start by observing how our team handles day-to-day communication, guest greetings, and basic administrative tasks. You’ll be the first point of contact for visitors, learning how to create a welcoming, helpful atmosphere from the moment someone walks in. You’ll be responsible for taking clear messages and following up to ensure they reach the right person quickly. You’ll assist with organizing files, updating spreadsheets, and keeping digital records accurate and secure. You’ll observe how to communicate professionally by email, phone, and in person — and you’ll practice doing it yourself. You’ll use basic tools like Google Calendar, email clients, and spreadsheets — we’ll show you how if it’s new to you. You’ll learn how to manage time, stay calm under pressure, and prioritize tasks during the busy parts of the day. You’ll work closely with HR, office management, and sometimes even company leadership — learning how communication flows in a real business.
Basic Qualifications:
- Take pride in creating a front desk experience that feels organized, approachable, and warm.
- Direct clients or vendors to the correct office, meeting room, or team member.
- Handle emergency situations responsibly, including knowing who to contact and what procedures to follow.
- Adapt to changing schedules, requests, or priorities without missing a beat.
- Support other departments with ad hoc tasks or errands to help daily operations run smoothly.
Preferred:
- Background or interest in administration, hospitality, office management, or communication.
- Pays attention to appearance, punctuality, and representing the company’s image with professionalism.
- Comfortable working with diverse clients, guests, or team members from different backgrounds.
- Experience working at a front desk or customer-facing administrative role in an office, clinic, hotel, or service setting.
- Ready to take on special projects or receptionist-related assignments when requested by management.
