Description:
We’re hiring an Event Coordinator who sees space, sound, light, and people as raw materials for unforgettable experiences. If you’re the one your classmates asked to “just make a Google Doc,” or the person who handled the whole graduation party while smiling — we’re talking to you. You’ll work side-by-side with experienced coordinators, shadowing real projects from initial planning through post-event feedback. You’ll work directly with stakeholders, speakers, sponsors, and internal teams to make sure expectations are clear and outcomes are met. You’ll source venues, negotiate pricing, and coordinate catering, tech, staffing, and transportation with efficiency and professionalism. ” You’ll shadow real coordinators and support projects like conferences, networking events, community pop-ups, or brand launches. You’ll help scout venues, collect quotes, draft emails, and manage timelines that span dozens of people and tasks. You’ll balance logistics and hospitality — making sure the space is welcoming without sacrificing execution or timelines. You’ll manage RSVPs, registrations, check-ins, and follow-ups using event management software and CRM tools.
Basic Qualifications:
- Ultimately, turn ideas into memorable, well-run events that deliver value, excitement, and connection.
- Handle on-the-ground decision-making during events—problem-solving quickly when faced with weather issues, technical glitches, or vendor delays.
- Track event budgets, process invoices, and monitor expenses to avoid overruns while maximizing quality and impact.
- Plan and execute events from start to finish—handling logistics, timelines, vendors, and budgets to ensure seamless experiences.
- Assist in marketing and promotion of events via email campaigns, social media posts, flyers, and community outreach.
Preferred:
- Familiar with event marketing, including email campaigns, social media promotion, or printed collateral.
- Can assist with on-site or virtual registration, signage, and guest communication.
- Able to create event timelines, budgets, and checklists to ensure smooth operations.
- Collaborates well across departments like marketing, HR, or business development to meet event goals.
- Willing to support setup, breakdown, and cleanup tasks during in-person events.
