Description:
We’re looking for an Event Coordinator who understands that a successful business event is built on structure, timing, and absolute reliability. If you’re the one your classmates asked to “just make a Google Doc,” or the person who handled the whole graduation party while smiling — we’re talking to you. You may not have agency experience yet, but your instinct for planning, timing, and problem-solving already sets you apart. You’ll turn vague ideas into real schedules, real venues, and real moments people remember. You’ll help build run sheets, checklists, vendor trackers, and learn the real difference between “starting on time” and “actually flowing. You’ll handle vendor calls, permits, insurance, and setup plans — then turn around and finesse the vibe of the guest arrival flow. You’ll ensure every name badge is correct, every slide deck is ready, and every presenter has exactly what they need before they go on stage. You’ll work with tools like Google Sheets, Trello, Notion, or Asana — and get used to using emoji in comments and highlighters in documents. You’ll assist with setup, signage, registration desks, print materials, and all the “small” things that make events feel effortless.
Basic Qualifications:
- Gather post-event feedback through surveys, debriefs, or analytics to identify areas for improvement and measure success.
- Remain calm under pressure—event day is fast-paced, and flexibility is key to success.
- Contribute to a positive team environment by supporting others, staying organized, and communicating clearly throughout planning.
- Support speakers, performers, or VIPs by coordinating transportation, accommodations, and hospitality details.
- Ultimately, turn ideas into memorable, well-run events that deliver value, excitement, and connection.
Preferred:
- Can assist with on-site or virtual registration, signage, and guest communication.
- Background or interest in event planning, hospitality, PR, or marketing coordination.
- Knows how to manage internal calendars and event documentation efficiently.
- Willing to support setup, breakdown, and cleanup tasks during in-person events.
- Able to support both intimate meetings and larger conferences, launches, or networking events.
