Description:
We’re hiring an Event Coordinator who sees space, sound, light, and people as raw materials for unforgettable experiences. You’ll plan and execute events that aren’t just organized — they’re inspired, unexpected, and deeply felt. You may not have agency experience yet, but your instinct for planning, timing, and problem-solving already sets you apart. You’ll join our team to learn how real events are built — from internal brainstorms to final wrap-up reports. You’ll find beauty in the details: badge design, lighting temperature, the exact moment the music starts — it all matters to you. You’ll get to know what makes a good event team — communication, anticipation, clarity, and a little sense of humor when things go sideways. You’ll help scout venues, collect quotes, draft emails, and manage timelines that span dozens of people and tasks. You’ll track expenses, negotiate costs, and make smart choices without compromising the vision. You’ll build moodboards for partners, timelines for teams, and calm for clients who need to see the plan.
Basic Qualifications:
- Maintain an organized archive of past event details—contacts, budgets, photos, and timelines—for reference and future planning.
- Coordinate staffing—scheduling volunteers, ushers, tech support, or contracted staff as needed for smooth operations.
- Research venues, negotiate contracts, and secure suppliers such as caterers, decorators, AV teams, or security personnel.
- Ultimately, turn ideas into memorable, well-run events that deliver value, excitement, and connection.
- Coordinate with clients, internal teams, or stakeholders to understand event objectives, goals, and expectations.
Preferred:
- Values teamwork, clear communication, and audience satisfaction.
- Experience assisting in the planning and execution of corporate, social, or virtual events.
- Familiar with event marketing, including email campaigns, social media promotion, or printed collateral.
- Willing to gather feedback from participants and implement improvements for future events.
- Strong organizational skills and attention to detail when managing multiple event elements.
Benefits:
- You’ll have time to prep, breathe, and recover — not go straight from teardown to your inbox.
- We offer hybrid/remote flexibility where possible — because burnout isn’t a badge of honor here.
- Flexible schedule depending on event cycles — some days are calm, others are adrenaline-filled (and we plan for both).
- And yes, you’ll get credit when everything goes right — even if you made it look effortless.
- You’ll coordinate with venues, caterers, speakers, designers, tech crews, and clients — all part of your daily dance.
You’ll prep for the unexpected — backup mics, rain plans, coffee that doesn’t run out — because that’s your superpower. You’ll start small — maybe timing one session, managing one list — but each task will matter, and we’ll trust you to do it well. You’ll be a connector — between creative vision and technical execution, between guest experience and operational flow. You’ll be surprised how much you learn in the first month — about structure, pressure, teamwork, and how to make chaos look effortless. You’ll learn how to multitask with focus, lead without shouting, and fix problems without anyone knowing there was one. You’ll gain real experience you can put on a resume — and stories you’ll tell every time someone says “event planning must be fun. You’ll never say “this is just an event” — because you know how transformative a single night can be. If you love controlled chaos, beautiful details, and getting things done under pressure — we want you planning our next big moment.
