Description:

We’re looking for a Remote Onboarding Specialist who thrives on helping people feel prepared, welcomed, and valued from day one. You’ll be responsible for welcoming new employees, setting them up with the tools they need, and making their first days feel smooth and intentional. From welcome emails to Zoom calls, you’ll guide new employees through every step of their onboarding journey. You’ll manage onboarding checklists, schedule intros with team members, and make sure no question goes unanswered. You’ll schedule kickoff calls, coordinate orientation materials, and keep everyone in the loop (without overwhelming them). You’ll prepare welcome kits, create helpful onboarding docs, and make sure everyone knows what’s next. You’ll create checklists, FAQs, and onboarding documents that answer questions before they’re asked. You’ll help reduce first-week jitters by building clear paths, friendly reminders, and human touchpoints into the process. If you’ve ever created a Notion workspace just to help a friend get organized — this is your kind of job.

Basic Qualifications:

  • Track onboarding progress using checklists or tools like Notion, Trello, or an HRIS, and follow up as needed.
  • Coordinate equipment shipments, account setups, and software permissions (even if you don’t do the IT part, you’ll track it).
  • Be proactive—anticipate what new hires might need before they ask and get ahead of potential issues.
  • Celebrate new hire milestones—first week, first project, first win—to keep energy and motivation high.
  • Facilitate async onboarding options (videos, docs, checklists) for self-paced learning across time zones.

Preferred:

  • Highly organized and capable of juggling multiple onboarding timelines or tasks.
  • Knows how to track onboarding progress and follow up on outstanding items.
  • Wants to grow into roles like HR Generalist, Employee Experience Manager, or People Ops.
  • Values professionalism, confidentiality, and clear communication in every step.
  • Familiarity with onboarding platforms like BambooHR, Sapling, or Trello.
