Description:
We’re hiring an Event Coordinator who sees space, sound, light, and people as raw materials for unforgettable experiences. You may not have run your own event yet, but you’re the kind of person who notices when a sign is crooked, a mic goes quiet, or the snacks run low — and steps in to fix it. You’ll work side-by-side with experienced coordinators, shadowing real projects from initial planning through post-event feedback. From immersive exhibitions to rooftop gatherings, you’ll map the logistics that make magic feel seamless. You’ll source venues, negotiate pricing, and coordinate catering, tech, staffing, and transportation with efficiency and professionalism. ” You’ll shadow real coordinators and support projects like conferences, networking events, community pop-ups, or brand launches. You’ll lead walkthroughs with a vision and a clipboard, always knowing how to translate chaos into clarity. You’ll sketch room layouts, test lighting angles, and debate over which color tape works best on black floor tiles. You’ll manage RSVPs, registrations, check-ins, and follow-ups using event management software and CRM tools.
Basic Qualifications:
- Oversee event setup and teardown—ensuring all elements (seating, signage, lighting, sound) are in place and functioning properly.
- Manage guest lists, RSVPs, invitations, and registration systems—whether for conferences, weddings, brand activations, or team offsites.
- Remain calm under pressure—event day is fast-paced, and flexibility is key to success.
- Create detailed event schedules, floor plans, and task lists to keep everything running on time and aligned with the vision.
- Communicate with vendors to confirm deliveries, payments, and logistics—resolving last-minute issues calmly and professionally.
Preferred:
- Knows how to manage internal calendars and event documentation efficiently.
- Background or interest in event planning, hospitality, PR, or marketing coordination.
- Thrives in fast-paced environments where multitasking and precision are key.
- Comfortable coordinating with vendors, venues, speakers, and internal teams.
- Able to support both intimate meetings and larger conferences, launches, or networking events.
