Description:
We’re looking for an Event Coordinator Intern who’s ready to learn how unforgettable experiences are built — one checklist, call, and timeline at a time. If you’re the one your classmates asked to “just make a Google Doc,” or the person who handled the whole graduation party while smiling — we’re talking to you. You may not have agency experience yet, but your instinct for planning, timing, and problem-solving already sets you apart. You’ll join our team to learn how real events are built — from internal brainstorms to final wrap-up reports. You’ll attend vendor meetings, site visits, and prep sessions where you’ll see how we choose venues, negotiate contracts, and build production timelines. ” You’ll shadow real coordinators and support projects like conferences, networking events, community pop-ups, or brand launches. You’ll help scout venues, collect quotes, draft emails, and manage timelines that span dozens of people and tasks. You’ll work with tools like Google Sheets, Trello, Notion, or Asana — and get used to using emoji in comments and highlighters in documents. You’ll assist with setup, signage, registration desks, print materials, and all the “small” things that make events feel effortless.
Basic Qualifications:
- Handle on-the-ground decision-making during events—problem-solving quickly when faced with weather issues, technical glitches, or vendor delays.
- Gather post-event feedback through surveys, debriefs, or analytics to identify areas for improvement and measure success.
- Coordinate with clients, internal teams, or stakeholders to understand event objectives, goals, and expectations.
- Assist in marketing and promotion of events via email campaigns, social media posts, flyers, and community outreach.
- Coordinate staffing—scheduling volunteers, ushers, tech support, or contracted staff as needed for smooth operations.
Preferred:
- Understands how to source materials, negotiate contracts, and handle last-minute changes.
- Willing to support setup, breakdown, and cleanup tasks during in-person events.
- Comfortable resolving issues quickly and professionally during live events.
- Background or interest in event planning, hospitality, PR, or marketing coordination.
- Able to create event timelines, budgets, and checklists to ensure smooth operations.
