Description:

We’re looking for a detail-oriented and proactive Remote Personal Assistant to support our team with administrative tasks and organization. You’ll manage and coordinate daily schedules, making sure meetings, appointments, and tasks are organized and on time. You’ll be responsible for handling emails, responding to inquiries, and organizing communications efficiently. You’ll be responsible for organizing travel arrangements, booking flights, accommodations, and providing clear itineraries for smooth trips. You’ll also help with data entry, file management, and document organization to keep things running smoothly. You’ll organize and maintain important documents, contracts, and files, making sure everything is easily accessible when needed. You’ll coordinate communication between different teams and ensure that everything is aligned and on track. You’ll handle personal tasks as needed, such as gift ordering, event planning, or research projects. You’ll ensure team members have what they need to stay focused on their tasks by handling personal and office-related requests.

Basic Qualifications:

  • Track tasks in tools like Notion, Trello, or Asana to stay ahead of deadlines and priorities.
  • Above all: protect your client’s time, reduce their stress, and make their life easier every day.
  • Maintain a calm, solutions-first attitude even when plans change, tech fails, or things get hectic.
  • Do light internet research to gather info, compare options, or vet vendors before decisions are made.
  • Act as a gatekeeper by handling incoming requests, filtering noise, and protecting focused work time.

Preferred:

  • Has worked in administrative, support, or customer-facing roles, or is eager to learn.
  • Proactive mindset with the ability to anticipate needs and solve problems independently.
  • Can draft emails, prepare documents, or assist with simple research tasks when needed.
  • Clear written communication skills for remote collaboration and task clarification.
  • Able to adapt to the communication style and working pace of the person being supported.
