Description:
We’re looking for an Event Coordinator Intern who’s ready to learn how unforgettable experiences are built — one checklist, call, and timeline at a time. You may not have run your own event yet, but you’re the kind of person who notices when a sign is crooked, a mic goes quiet, or the snacks run low — and steps in to fix it. You’ll work side-by-side with experienced coordinators, shadowing real projects from initial planning through post-event feedback. You’ll join our team to learn how real events are built — from internal brainstorms to final wrap-up reports. You’ll help build run sheets, checklists, vendor trackers, and learn the real difference between “starting on time” and “actually flowing. You’ll be the calm during chaos, the person who solves problems before most people notice them. You’ll work with vendors, partners, talent, and internal teams to keep everyone aligned and everything on time. You’ll work with tools like Google Sheets, Trello, Notion, or Asana — and get used to using emoji in comments and highlighters in documents. You’ll manage RSVPs, registrations, check-ins, and follow-ups using event management software and CRM tools.
Basic Qualifications:
- Communicate with vendors to confirm deliveries, payments, and logistics—resolving last-minute issues calmly and professionally.
- Stay up to date on event trends, technology, and design to offer fresh ideas and solutions for each event type.
- Support speakers, performers, or VIPs by coordinating transportation, accommodations, and hospitality details.
- Represent the brand or organization professionally—making sure all touchpoints reflect quality and attention to detail.
- Contribute to a positive team environment by supporting others, staying organized, and communicating clearly throughout planning.
Preferred:
- Strong organizational skills and attention to detail when managing multiple event elements.
- Experience assisting in the planning and execution of corporate, social, or virtual events.
- Knows how to stay calm under pressure and adapt to last-minute program changes.
- Familiar with event marketing, including email campaigns, social media promotion, or printed collateral.
- Understands how to source materials, negotiate contracts, and handle last-minute changes.
