Description:
We’re looking for a proactive, detail-oriented Remote Personal Assistant to support our team with administrative and organizational tasks. You’ll be responsible for managing calendars, scheduling appointments, and ensuring that everything runs on time and without a hitch. You’ll handle correspondence, including emails, phone calls, and messages, ensuring that nothing slips through the cracks. You’ll assist with travel bookings, hotel reservations, and providing detailed itineraries for business trips and personal travel. You’ll manage various projects, tracking deadlines and milestones, and ensuring that every task is completed on time. You’ll help create and update internal and external communications, keeping them clear and concise. You’ll assist in creating reports, drafting presentations, and preparing materials for meetings or conferences. You’ll support the team with personal tasks, such as ordering gifts, managing subscriptions, and arranging personal errands as needed. You’ll ensure team members have what they need to stay focused on their tasks by handling personal and office-related requests.
Basic Qualifications:
- Help prepare slide decks, reports, or simple spreadsheets as needed—clean, clear, and deadline-ready.
- Manage recurring tasks like weekly planning, birthday reminders, invoice tracking, or subscription management.
- Handle sensitive information discreetly and with complete confidentiality.
- Take notes during meetings, prepare summaries, and track follow-ups to make sure nothing slips through the cracks.
- Be the calm presence behind the scenes that keeps chaos at bay and momentum moving forward.
Preferred:
- Experience booking travel, managing expenses, or coordinating logistics remotely.
- Capable of handling last-minute changes or unexpected requests calmly.
- Open to managing both personal and professional tasks when requested.
- Excellent organizational and time-management skills to juggle multiple tasks efficiently.
- Able to adapt to the communication style and working pace of the person being supported.
