Description:

We’re looking for a detail-oriented and proactive Remote Personal Assistant to support our team with administrative tasks and organization. You’ll be responsible for managing calendars, scheduling appointments, and ensuring that daily tasks and meetings are well-organized. You’ll handle a wide variety of tasks, from managing emails and phone calls to organizing documents and preparing reports. You’ll be responsible for organizing travel arrangements, booking flights, accommodations, and providing clear itineraries for smooth trips. You’ll also help with data entry, file management, and document organization to keep things running smoothly. You’ll organize and maintain important documents, contracts, and files, making sure everything is easily accessible when needed. You’ll work with other team members to streamline processes and increase efficiency in everyday operations. You’ll support the team with personal tasks, such as ordering gifts, managing subscriptions, and arranging personal errands as needed. You’ll ensure team members have what they need to stay focused on their tasks by handling personal and office-related requests.

Basic Qualifications:

  • Handle email inboxes by flagging important messages, drafting replies, and organizing threads by priority.
  • Organize files, docs, and folders across cloud platforms like Google Drive or Dropbox so everything is tidy and accessible.
  • Be flexible with working hours when needed, especially across time zones or for urgent last-minute tasks.
  • Help prepare slide decks, reports, or simple spreadsheets as needed—clean, clear, and deadline-ready.
  • Assist with personal tasks like online purchases, appointments, or simple research—whatever helps free up time.

Preferred:

  • Open to managing both personal and professional tasks when requested.
  • Can take vague instructions and turn them into actionable steps or tasks.
  • Familiar with basic bookkeeping, data entry, or customer support tasks is a plus.
  • Interested in growing into roles like Executive Assistant or Project Coordinator.
  • Experience managing calendars, scheduling meetings, and handling email correspondence.
