Description:
We’re offering a Secretary Internship to someone who wants to develop strong organizational and administrative skills in a real office environment. You’ll begin by observing daily routines, then gradually take on tasks like organizing files, scheduling meetings, and handling internal requests. You’ll observe how documents are drafted, filed, and formatted — and slowly begin handling these tasks under supervision. You’ll be trained to handle incoming and outgoing mail, prepare basic correspondence, and format documents for internal and external use. You’ll be part of team meetings, helping take notes and learning how communication flows across roles and departments. You’ll help set up for meetings by printing materials, arranging rooms, and taking accurate meeting notes when needed. You’ll support team coordination by preparing checklists, agendas, and documentation for internal communication. You’ll work closely with your supervisor and offer support on administrative tasks like filing, labeling, or organizing digital folders. You’ll work closely with multiple departments, gaining exposure to different workflows and office cultures.
Basic Qualifications:
- Track office supplies and place orders to ensure everything runs smoothly day to day.
- Keep your workspace organized—it sets the tone for others around you.
- Uphold a calm, courteous presence even in a fast-paced, demanding environment.
- Assist in creating presentations, spreadsheets, or internal documents as requested.
- Support office operations by coordinating between departments, vendors, and visitors.
Preferred:
- Willing to liaise with building management, IT support, or external partners for office maintenance needs.
- Willing to take initiative in improving office workflows, templates, or scheduling processes.
- Organized in preparing agendas, to-do lists, and follow-up summaries for leadership teams.
- Familiar with basic bookkeeping, invoice preparation, and maintaining office expense records.
- Background or interest in administration, office management, communication, or organizational support.
