Description:

We’re looking for a Receptionist Trainee who’s eager to learn the rhythm of a front desk and become a calm, confident point of contact for our team and visitors. You’ll start by observing how our team handles day-to-day communication, guest greetings, and basic administrative tasks. Over time, you’ll start handling real responsibilities — from signing in visitors to managing simple appointment bookings. You’ll assist in answering phone calls, transferring them politely, and taking messages when needed. You’ll help coordinate meeting schedules, reserve rooms, and make sure the lobby is always clean and welcoming. You’ll learn to juggle multiple priorities — a ringing phone, a delivery at the door, and a last-minute request from a colleague. You’ll get comfortable using office equipment like printers, scanners, and phone systems. You’ll learn how to manage time, stay calm under pressure, and prioritize tasks during the busy parts of the day. You’ll support daily administrative routines like filing, scanning, and data entry with attention to detail.

Basic Qualifications:

  • Maintain visitor logs, issue badges if required, and ensure guests are signed in and out.
  • Manage multi-line phone systems, voicemail messages, and call forwarding settings efficiently.
  • Handle emergency situations responsibly, including knowing who to contact and what procedures to follow.
  • Schedule appointments, meetings, or bookings using calendars or scheduling software.
  • Answer incoming calls promptly, transfer them to the appropriate person, or take clear messages.

Preferred:

  • Capable of working under pressure and handling multiple tasks at once with composure.
  • Comfortable managing appointments, calendars, and visitor logs with accuracy and attention to detail.
  • Can maintain confidentiality regarding sensitive visitor or internal information.
  • Open to learning software tools such as MS Office, Google Workspace, CRM systems, or booking platforms.
  • Enjoys supporting teams and creating a smooth, professional experience for visitors and employees.
