Description:

We’re looking for an Event Coordinator Intern who’s already been organizing things their whole life — now it’s time to do it professionally. You’ll plan and execute events from A to Z, whether it’s a 10-person breakfast or a 1,000-person launch party. You’ll work closely with artists, performers, designers, and producers to make creative ideas real — on time and within budget. You’ll join our team to learn how real events are built — from internal brainstorms to final wrap-up reports. You’ll handle the not-so-glamorous stuff — permits, checklists, catering allergies — with just as much passion as the stage design. You’ll get to know what makes a good event team — communication, anticipation, clarity, and a little sense of humor when things go sideways. You’ll lead walkthroughs with a vision and a clipboard, always knowing how to translate chaos into clarity. You’ll quickly see that great events are 20% creativity and 80% knowing what could go wrong and fixing it before it does. You’ll help manage logistics: printing badges, organizing supplies, coordinating couriers, prepping event kits — and yes, sometimes taping down cables.

Basic Qualifications:

  • Manage guest lists, RSVPs, invitations, and registration systems—whether for conferences, weddings, brand activations, or team offsites.
  • Represent the brand or organization professionally—making sure all touchpoints reflect quality and attention to detail.
  • Stay up to date on event trends, technology, and design to offer fresh ideas and solutions for each event type.
  • Prepare and distribute event materials such as name badges, programs, agendas, signage, or welcome kits.
  • Communicate with vendors to confirm deliveries, payments, and logistics—resolving last-minute issues calmly and professionally.

Preferred:

  • Able to create event timelines, budgets, and checklists to ensure smooth operations.
  • Experience assisting in the planning and execution of corporate, social, or virtual events.
  • Comfortable coordinating with vendors, venues, speakers, and internal teams.
  • Open to traveling or working evenings/weekends depending on event schedules.
  • Understands how to source materials, negotiate contracts, and handle last-minute changes.
