Description:
We’re looking for a detail-oriented and proactive Remote Personal Assistant to support our team with administrative tasks and organization. You’ll be responsible for managing calendars, scheduling appointments, and ensuring that daily tasks and meetings are well-organized. You’ll handle emails, prioritize communication, and keep track of important tasks and deadlines. You’ll be responsible for organizing travel arrangements, booking flights, accommodations, and providing clear itineraries for smooth trips. You’ll ensure that important deadlines and tasks are met, keeping track of progress and updating the team accordingly. You’ll help organize and maintain important files, documents, and records, keeping everything accessible and organized. You’ll work with other team members to streamline processes and increase efficiency in everyday operations. You’ll provide administrative support by making phone calls, scheduling appointments, and coordinating between departments or teams. You’ll ensure team members have what they need to stay focused on their tasks by handling personal and office-related requests.
Basic Qualifications:
- Coordinate travel arrangements, bookings, and itineraries with an eye for detail and timing.
- Handle email inboxes by flagging important messages, drafting replies, and organizing threads by priority.
- Manage recurring tasks like weekly planning, birthday reminders, invoice tracking, or subscription management.
- Communicate professionally on the client’s behalf via email or messaging apps when requested.
- Work independently, but stay communicative—send daily check-ins or quick updates without needing micromanagement.
Preferred:
- Tech-savvy and willing to learn new productivity apps or systems quickly.
- Values structure, clarity, and helping others succeed behind the scenes.
- Excellent organizational and time-management skills to juggle multiple tasks efficiently.
- Able to adapt to the communication style and working pace of the person being supported.
- Familiar with basic bookkeeping, data entry, or customer support tasks is a plus.
