Description:
We’re hiring a Receptionist Trainee who wants to build real-world office experience while being the friendly face that greets everyone who walks through the door. You’ll begin by observing how experienced staff greet guests, handle calls, and manage a fast-paced reception area. You’ll be the first point of contact for visitors, learning how to create a welcoming, helpful atmosphere from the moment someone walks in. You’ll be responsible for taking clear messages and following up to ensure they reach the right person quickly. You’ll help coordinate meeting schedules, reserve rooms, and make sure the lobby is always clean and welcoming. You’ll learn how to juggle tasks while maintaining a polite, welcoming attitude — even when things get hectic. You’ll use basic tools like Google Calendar, email clients, and spreadsheets — we’ll show you how if it’s new to you. You’ll help make the reception area look professional — tidy, stocked with materials, and always presentable. You’ll develop your ability to stay calm under pressure — whether that’s a crowded lobby or back-to-back phone calls.
Basic Qualifications:
- Follow daily checklists or opening/closing procedures to maintain front desk operations.
- Handle sensitive or confidential information with discretion and integrity.
- Greet visitors and clients with a friendly smile and professional attitude as they arrive.
- Ensure all communications—written or verbal—represent the company in a professional manner.
- Respond to emails, inquiries, or walk-in questions with accurate information and a helpful tone.
Preferred:
- Excellent communication skills, both verbal and written, with a friendly and professional demeanor.
- Thrives in structured, people-oriented environments where communication and coordination matter.
- Proficient in using office tools such as multi-line phones, printers, scanners, and scheduling software.
- Can maintain confidentiality regarding sensitive visitor or internal information.
- Familiar with handling email correspondence, booking meeting rooms, and processing mail or deliveries.
