Description:
We’re looking for an Event Coordinator who thrives on logistics, creativity, and making sure nothing falls through the cracks — ever. You’ll plan and execute events from A to Z, whether it’s a 10-person breakfast or a 1,000-person launch party. You’ll work side-by-side with experienced coordinators, shadowing real projects from initial planning through post-event feedback. You’ll help build guest lists, update schedules, manage spreadsheets, and learn how many tiny moving parts go into one polished moment. You’ll help build run sheets, checklists, vendor trackers, and learn the real difference between “starting on time” and “actually flowing. You’ll be the calm during chaos, the person who solves problems before most people notice them. You’ll help scout venues, collect quotes, draft emails, and manage timelines that span dozens of people and tasks. You’ll work with tools like Google Sheets, Trello, Notion, or Asana — and get used to using emoji in comments and highlighters in documents. You’ll build moodboards for partners, timelines for teams, and calm for clients who need to see the plan.
Basic Qualifications:
- Ultimately, turn ideas into memorable, well-run events that deliver value, excitement, and connection.
- Track event budgets, process invoices, and monitor expenses to avoid overruns while maximizing quality and impact.
- Contribute to a positive team environment by supporting others, staying organized, and communicating clearly throughout planning.
- Remain calm under pressure—event day is fast-paced, and flexibility is key to success.
- Gather post-event feedback through surveys, debriefs, or analytics to identify areas for improvement and measure success.
Preferred:
- Can help create presentation slides, agendas, name tags, or event handouts.
- Can assist with on-site or virtual registration, signage, and guest communication.
- Experience assisting in the planning and execution of corporate, social, or virtual events.
- Comfortable resolving issues quickly and professionally during live events.
- Able to support both intimate meetings and larger conferences, launches, or networking events.
