Description:
We’re looking for an Event Coordinator Intern who’s ready to learn how unforgettable experiences are built — one checklist, call, and timeline at a time. You’ll plan and execute events from A to Z, whether it’s a 10-person breakfast or a 1,000-person launch party. You’ll work closely with artists, performers, designers, and producers to make creative ideas real — on time and within budget. You’ll join our team to learn how real events are built — from internal brainstorms to final wrap-up reports. You’ll find beauty in the details: badge design, lighting temperature, the exact moment the music starts — it all matters to you. You’ll get to know what makes a good event team — communication, anticipation, clarity, and a little sense of humor when things go sideways. You’ll lead walkthroughs with a vision and a clipboard, always knowing how to translate chaos into clarity. You’ll balance logistics and hospitality — making sure the space is welcoming without sacrificing execution or timelines. You’ll manage RSVPs, registrations, check-ins, and follow-ups using event management software and CRM tools.
Basic Qualifications:
- Ensure compliance with local regulations, permits, insurance requirements, and safety standards for all event types.
- Research venues, negotiate contracts, and secure suppliers such as caterers, decorators, AV teams, or security personnel.
- Contribute to a positive team environment by supporting others, staying organized, and communicating clearly throughout planning.
- Stay up to date on event trends, technology, and design to offer fresh ideas and solutions for each event type.
- Maintain an organized archive of past event details—contacts, budgets, photos, and timelines—for reference and future planning.
Preferred:
- Experience collecting RSVPs, tracking attendee data, and generating post-event reports.
- Knows how to manage internal calendars and event documentation efficiently.
- Background or interest in event planning, hospitality, PR, or marketing coordination.
- Willing to gather feedback from participants and implement improvements for future events.
- Open to traveling or working evenings/weekends depending on event schedules.
