Description:
We’re looking for an Administrative Assistant who’s detail-obsessed, highly dependable, and thrives in a fast-paced environment. You’ll be the go-to person for scheduling, emails, document prep, and all the little things that make a big difference. Answering emails, organizing files, and supporting team logistics will be part of your everyday workflow. You’ll support executives and team members with daily tasks and special projects alike. You’re the kind of person who remembers birthdays, follows up without being asked, and keeps everything one step ahead. You can juggle multiple tasks, switch priorities quickly, and still meet every deadline. Creating and formatting reports, emails, and internal communications will be part of your daily rhythm. If there’s a better way to organize something, you’ll be the one to find it. You bring structure to chaos and make the complex feel simple.
Basic Qualifications:
- Support internal operations by ordering office supplies, coordinating deliveries, and maintaining vendor contact lists.
- Assist in onboarding new employees by preparing documentation, setting up accounts, and scheduling orientation meetings.
- Respond to unexpected requests quickly and calmly, adapting to shifting priorities as needed.
- Take notes during meetings and distribute summaries or action items to ensure alignment and follow-through.
- Ultimately, keep everything running smoothly behind the scenes so the team can stay focused on what they do best.
Preferred:
- Familiar with customer service tasks like answering emails, calls, or chat inquiries.
- Knows how to prioritize urgent tasks and communicate delays or changes professionally.
- Wants to grow into roles like Executive Assistant, Operations Coordinator, or Office Manager.
- Can balance recurring admin duties with ad-hoc or project-based tasks.
- Can help improve office efficiency by suggesting tools or process tweaks.
Benefits:
- Async-friendly team — we respect your deep work time and provide clear, written communication.
- You’ll coordinate scheduling, prepare reports, track to-dos, and gently nudge when things are falling behind.
- You’ll always be appreciated — not just when something goes wrong, but for keeping it all right.
- Celebrate clean inboxes, well-planned meetings, and documents that make sense to everyone.
- Opportunities to grow into operations manager, executive assistant, or project coordinator roles.
We’ll rely on you to notice what’s missing, fill the gaps, and bring clarity to the chaos. You’re tech-savvy and comfortable learning new tools to make workflows smoother. We’ll trust you with tasks big and small, knowing you approach them all with care and competence. You bring calm to chaos and order to overwhelm. You bring a positive attitude, professionalism, and excellent time management skills to everything you do. You’ll help onboard new hires and be a friendly face that keeps things welcoming and organized. If you're the kind of person who color-codes your to-do list and sets reminders for reminders — we want to meet you. We’re looking for someone who loves structure, thrives on routine, and still knows how to adapt when things shift suddenly.
