Description:
We’re hiring a Receptionist Trainee who wants to build real-world office experience while being the friendly face that greets everyone who walks through the door. You’ll begin by observing how experienced staff greet guests, handle calls, and manage a fast-paced reception area. Over time, you’ll start handling real responsibilities — from signing in visitors to managing simple appointment bookings. You’ll assist in answering phone calls, transferring them politely, and taking messages when needed. You’ll learn how to handle appointment bookings, maintain front desk logs, and update visitor records accurately. You’ll help manage email inboxes, print documents, and keep the reception area tidy and professional. You’ll get comfortable using office equipment like printers, scanners, and phone systems. You’ll practice multitasking — managing walk-ins, calls, and tasks while staying composed and friendly. We’ll guide you through best practices in customer service, tone of voice, and how to handle tricky or awkward situations.
Basic Qualifications:
- Listen actively and communicate clearly with people from all backgrounds.
- Adapt to changing schedules, requests, or priorities without missing a beat.
- Handle emergency situations responsibly, including knowing who to contact and what procedures to follow.
- Follow daily checklists or opening/closing procedures to maintain front desk operations.
- Manage multi-line phone systems, voicemail messages, and call forwarding settings efficiently.
Preferred:
- Background or interest in administration, hospitality, office management, or communication.
- Capable of working under pressure and handling multiple tasks at once with composure.
- Open to learning software tools such as MS Office, Google Workspace, CRM systems, or booking platforms.
- Proficient in using office tools such as multi-line phones, printers, scanners, and scheduling software.
- Excellent communication skills, both verbal and written, with a friendly and professional demeanor.
