Description:
We’re looking for an Event Coordinator Intern who’s already been organizing things their whole life — now it’s time to do it professionally. You’ll plan and execute events from A to Z, whether it’s a 10-person breakfast or a 1,000-person launch party. You’ll manage timelines, vendor communication, budgets, and floorplans like a pro with a clipboard and a Plan B (and C). You’ll join our team to learn how real events are built — from internal brainstorms to final wrap-up reports. You’ll find beauty in the details: badge design, lighting temperature, the exact moment the music starts — it all matters to you. You’ll handle vendor calls, permits, insurance, and setup plans — then turn around and finesse the vibe of the guest arrival flow. You’ll work with vendors, partners, talent, and internal teams to keep everyone aligned and everything on time. You’ll sketch room layouts, test lighting angles, and debate over which color tape works best on black floor tiles. You’ll know how to walk into any space and immediately start mapping guest flow, signage, and power outlets.
Basic Qualifications:
- Create detailed event schedules, floor plans, and task lists to keep everything running on time and aligned with the vision.
- Ultimately, turn ideas into memorable, well-run events that deliver value, excitement, and connection.
- Maintain an organized archive of past event details—contacts, budgets, photos, and timelines—for reference and future planning.
- Coordinate with clients, internal teams, or stakeholders to understand event objectives, goals, and expectations.
- Ensure compliance with local regulations, permits, insurance requirements, and safety standards for all event types.
Preferred:
- Experience collecting RSVPs, tracking attendee data, and generating post-event reports.
- Knows how to stay calm under pressure and adapt to last-minute program changes.
- Enjoys problem-solving and creating memorable, well-run experiences for attendees.
- Able to support both intimate meetings and larger conferences, launches, or networking events.
- Willing to gather feedback from participants and implement improvements for future events.
