Description:
We’re looking for a Receptionist Trainee who brings a positive attitude, a willingness to learn, and a genuine interest in helping people feel welcome. You don’t need previous experience — just a warm smile, clear communication skills, and a commitment to showing up on time. You’ll greet visitors, answer basic inquiries, and help direct people to the right person or department. You’ll support calendar coordination, visitor sign-ins, and light admin tasks like printing, organizing, or updating checklists. You’ll help coordinate meeting schedules, reserve rooms, and make sure the lobby is always clean and welcoming. You’ll learn how to juggle tasks while maintaining a polite, welcoming attitude — even when things get hectic. You’ll monitor office supplies at the front, restock brochures or forms, and make sure everything is tidy and guest-ready. You’ll gain experience using booking systems, shared calendars, and office software like Microsoft Word and Excel. You’ll assist with updating visitor records, tracking attendance logs, and preparing materials for meetings or interviews.
Basic Qualifications:
- Handle sensitive or confidential information with discretion and integrity.
- Update contact lists, internal directories, or company calendars when changes occur.
- Coordinate deliveries, accept packages, and notify team members of incoming shipments.
- Take pride in creating a front desk experience that feels organized, approachable, and warm.
- Follow daily checklists or opening/closing procedures to maintain front desk operations.
Preferred:
- Enjoys supporting teams and creating a smooth, professional experience for visitors and employees.
- Familiar with coordinating service vendors, facility maintenance requests, or catering for meetings.
- Understands safety protocols and procedures for signing in guests or handling emergencies.
- Open to learning software tools such as MS Office, Google Workspace, CRM systems, or booking platforms.
- Background or interest in administration, hospitality, office management, or communication.
