We’re looking for an Administrative Assistant who’s detail-obsessed, highly dependable, and thrives in a fast-paced environment. You’ll handle day-to-day tasks like managing calendars, coordinating meetings, and keeping digital files organized. From answering calls to organizing documents, your role keeps things efficient and professional. You’ll be the first point of contact for both internal staff and external guests, always presenting a professional tone. When someone needs something done yesterday, you’ve probably already finished it today. You know how to handle confidential information with care and respect. If something needs fixing, arranging, or improving — chances are, you’ve already thought of it. You’re confident using Google Workspace, Microsoft Office, or whatever new tool we throw your way. You bring structure to chaos and make the complex feel simple.
Basic Qualifications:
- Support senior leadership with confidential tasks and ensure sensitive information is handled with discretion.
- Manage daily administrative tasks such as scheduling meetings, organizing calendars, booking travel, and handling correspondence.
- Take notes during meetings and distribute summaries or action items to ensure alignment and follow-through.
- Work closely with HR, IT, or Operations to support cross-functional administrative needs.
- Answer phone calls and emails professionally, directing inquiries to the appropriate team members and following up when needed.
Preferred:
- Experience supporting virtual or hybrid teams and coordinating across time zones.
- Values accuracy, dependability, and proactive communication in support roles.
- Can balance recurring admin duties with ad-hoc or project-based tasks.
- Open to working closely with executives, HR, finance, or operations staff.
- Comfortable with data entry, filing systems, and maintaining digital and physical records.
