Description:
We’re looking for an Event Coordinator who thrives on logistics, creativity, and making sure nothing falls through the cracks — ever. If you’re the one your classmates asked to “just make a Google Doc,” or the person who handled the whole graduation party while smiling — we’re talking to you. You’ll work side-by-side with experienced coordinators, shadowing real projects from initial planning through post-event feedback. You’ll help build guest lists, update schedules, manage spreadsheets, and learn how many tiny moving parts go into one polished moment. You’ll handle the not-so-glamorous stuff — permits, checklists, catering allergies — with just as much passion as the stage design. You’ll build detailed run-of-show documents, production schedules, and contingency plans that keep things on track — even when surprises arise. You’ll help scout venues, collect quotes, draft emails, and manage timelines that span dozens of people and tasks. You’ll sketch room layouts, test lighting angles, and debate over which color tape works best on black floor tiles. You’ll assist with setup, signage, registration desks, print materials, and all the “small” things that make events feel effortless.
Basic Qualifications:
- Stay up to date on event trends, technology, and design to offer fresh ideas and solutions for each event type.
- Research venues, negotiate contracts, and secure suppliers such as caterers, decorators, AV teams, or security personnel.
- Build relationships with reliable vendors, venues, and freelancers to streamline future planning.
- Track event budgets, process invoices, and monitor expenses to avoid overruns while maximizing quality and impact.
- Oversee event setup and teardown—ensuring all elements (seating, signage, lighting, sound) are in place and functioning properly.
Preferred:
- Strong organizational skills and attention to detail when managing multiple event elements.
- Values teamwork, clear communication, and audience satisfaction.
- Enjoys problem-solving and creating memorable, well-run experiences for attendees.
- Familiar with event marketing, including email campaigns, social media promotion, or printed collateral.
- Experience collecting RSVPs, tracking attendee data, and generating post-event reports.
