Description:
We’re hiring an Event Coordinator who sees space, sound, light, and people as raw materials for unforgettable experiences. You’ll plan and execute events from A to Z, whether it’s a 10-person breakfast or a 1,000-person launch party. You’ll manage timelines, vendor relationships, contracts, and budgets — and keep everything aligned with business objectives. You’ll join our team to learn how real events are built — from internal brainstorms to final wrap-up reports. You’ll help build run sheets, checklists, vendor trackers, and learn the real difference between “starting on time” and “actually flowing. You’ll be the calm during chaos, the person who solves problems before most people notice them. You’ll work with vendors, partners, talent, and internal teams to keep everyone aligned and everything on time. You’ll sketch room layouts, test lighting angles, and debate over which color tape works best on black floor tiles. You’ll manage RSVPs, registrations, check-ins, and follow-ups using event management software and CRM tools.
Basic Qualifications:
- Stay up to date on event trends, technology, and design to offer fresh ideas and solutions for each event type.
- Research venues, negotiate contracts, and secure suppliers such as caterers, decorators, AV teams, or security personnel.
- Create contingency plans and backups for key elements such as weather, speaker cancellations, or tech failures.
- Oversee event setup and teardown—ensuring all elements (seating, signage, lighting, sound) are in place and functioning properly.
- Coordinate staffing—scheduling volunteers, ushers, tech support, or contracted staff as needed for smooth operations.
Preferred:
- Comfortable coordinating with vendors, venues, speakers, and internal teams.
- Knows how to manage internal calendars and event documentation efficiently.
- Able to create event timelines, budgets, and checklists to ensure smooth operations.
- Experience assisting in the planning and execution of corporate, social, or virtual events.
- Familiar with event marketing, including email campaigns, social media promotion, or printed collateral.
