We’re hiring an Event Coordinator who sees space, sound, light, and people as raw materials for unforgettable experiences. If you’re the one your classmates asked to “just make a Google Doc,” or the person who handled the whole graduation party while smiling — we’re talking to you. You’ll manage timelines, vendor communication, budgets, and floorplans like a pro with a clipboard and a Plan B (and C). From immersive exhibitions to rooftop gatherings, you’ll map the logistics that make magic feel seamless. You’ll attend vendor meetings, site visits, and prep sessions where you’ll see how we choose venues, negotiate contracts, and build production timelines. You’ll be the calm during chaos, the person who solves problems before most people notice them. You’ll learn how to write professional emails, follow up with venues, check floor plans, and spot issues before they become problems. You’ll work with tools like Google Sheets, Trello, Notion, or Asana — and get used to using emoji in comments and highlighters in documents. You’ll manage RSVPs, registrations, check-ins, and follow-ups using event management software and CRM tools.
Basic Qualifications:
- Plan and execute events from start to finish—handling logistics, timelines, vendors, and budgets to ensure seamless experiences.
- Coordinate with clients, internal teams, or stakeholders to understand event objectives, goals, and expectations.
- Create detailed event schedules, floor plans, and task lists to keep everything running on time and aligned with the vision.
- Ensure compliance with local regulations, permits, insurance requirements, and safety standards for all event types.
- Research venues, negotiate contracts, and secure suppliers such as caterers, decorators, AV teams, or security personnel.
Preferred:
- Knows how to stay calm under pressure and adapt to last-minute program changes.
- Experience collecting RSVPs, tracking attendee data, and generating post-event reports.
- Can help create presentation slides, agendas, name tags, or event handouts.
- Thrives in fast-paced environments where multitasking and precision are key.
- Pays attention to attendee experience, flow of the event, and brand consistency.
