Description:

We’re hiring a detail-oriented Virtual Assistant to provide administrative support and help streamline daily operations. You’ll manage calendars, book appointments, and ensure that all scheduled meetings run smoothly and are well-coordinated. You’ll handle email management, responding to inquiries, organizing the inbox, and prioritizing messages as needed. You’ll handle document organization, data entry, and maintaining digital filing systems for easy access to important information. You’ll coordinate travel logistics, including booking flights, hotels, and preparing detailed travel itineraries for team members. You’ll support customer service by responding to customer queries, resolving issues, and providing timely and accurate information. You’ll help maintain a system for tracking expenses, invoices, and managing financial documents with accuracy. You’ll assist with social media management, scheduling posts, tracking engagement, and helping to manage online communities. You’ll assist with preparing reports, presentations, and documents, ensuring accuracy and attention to detail.

Basic Qualifications:

  • Manage task lists in tools like Trello, Notion, or Asana, updating progress and checking in when deadlines approach.
  • Respond to client inquiries, book appointments, and send reminders—making sure nothing falls through the cracks.
  • Help organize meetings by preparing agendas, sending Zoom links, and taking notes when required.
  • Coordinate with vendors, freelancers, or team members on basic logistics, follow-ups, or document sharing.
  • Help streamline workflows by suggesting time-saving tools or tactics you’ve learned.

Preferred:

  • Knows how to organize digital folders, set up cloud storage, and maintain clean systems.
  • Wants to grow into roles like Executive Assistant, Project Coordinator, or Operations Manager.
  • Enjoys helping others stay organized, productive, and stress-free.
  • Can jump between administrative, creative, and technical tasks based on need.
  • Capable of tracking tasks and progress using project management platforms.
