Description:

We’re looking for a highly organized Virtual Assistant to provide administrative and operational support to our remote team. You’ll be responsible for managing calendars, scheduling appointments, and ensuring that meetings and deadlines are met on time. You’ll assist with email management, responding to inquiries, prioritizing messages, and organizing communications effectively. You’ll handle document organization, data entry, and maintaining digital filing systems for easy access to important information. You’ll help prepare and format reports, presentations, and other documents to support the team’s efforts. You’ll handle customer service tasks, responding to inquiries, resolving issues, and ensuring client satisfaction. You’ll engage with clients and customers, providing excellent customer service, responding to inquiries, and resolving issues. You’ll help organize company events, meetings, and webinars, ensuring that all logistics are planned and executed smoothly. You’ll assist with preparing reports, presentations, and documents, ensuring accuracy and attention to detail.

Basic Qualifications:

  • Communicate updates clearly and proactively—remote work relies on visibility and trust.
  • Help organize meetings by preparing agendas, sending Zoom links, and taking notes when required.
  • Handle day-to-day administrative tasks such as email management, calendar scheduling, and file organization to keep operations running smoothly.
  • Prepare weekly summaries or reports of completed tasks, pending items, and upcoming deadlines.
  • Track recurring tasks like invoice reminders, renewal deadlines, or customer follow-ups using simple automations.

Preferred:

  • Flexible with time zones and able to work independently with minimal supervision.

  • Can support basic customer service, invoicing, or CRM updates.
  • Knows how to organize digital folders, set up cloud storage, and maintain clean systems.
