Description:
We’re searching for a Reception Manager who treats hospitality as both an art and a responsibility. You’ll be the warm, composed, and highly capable presence that anchors the flow of our entire workspace. Running the front desk isn’t just about answering phones — it’s about setting the tone for the entire space. You’ll be responsible for shaping first impressions, turning quick greetings into moments of connection. Each day, you’ll oversee guest flow, incoming calls, courier traffic, meeting room readiness, and general coordination with a graceful touch. You’ll coordinate visitor schedules, manage bookings, and ensure meeting spaces are prepped and presentable. You’re the person who can notice a flickering lightbulb, a nervous guest, and an off-schedule meeting — and handle it all without breaking stride. You’ll ensure that every guest, delivery, and inquiry is handled quickly, efficiently, and with attention to detail. You’ll maintain immaculate standards in presentation, timing, and service — and your team will follow your lead.
Basic Qualifications:
- Manage internal communication flow—sharing updates with reception staff and relaying feedback to HR or leadership as needed.
- Track and report on front desk metrics such as wait times, visitor volume, or issue resolution times to identify areas for improvement.
- Resolve any customer service issues with professionalism, empathy, and discretion—de-escalating situations when necessary.
- Act as the first point of contact for building access, visitor badges, deliveries, and meeting room coordination.
- Handle scheduling, phone systems, emails, and walk-ins—resolving inquiries or directing them to the appropriate department.
Preferred:
- Can manage front desk supply inventory and reorder materials as needed.
- Wants to grow into roles like Office Manager, Guest Experience Lead, or Operations Coordinator.
- Proficient in tools like Google Workspace, Microsoft Office, or front desk CRM software.
- Can prepare daily reports, visitor logs, and communication updates for leadership or operations.
- Understands the importance of first impressions and maintaining a polished, friendly atmosphere.
