Description:

We’re looking for a proactive, detail-oriented Remote Personal Assistant to support our team with administrative and organizational tasks. You’ll manage and coordinate daily schedules, making sure meetings, appointments, and tasks are organized and on time. You’ll handle a wide variety of tasks, from managing emails and phone calls to organizing documents and preparing reports. You’ll assist with travel bookings, hotel reservations, and providing detailed itineraries for business trips and personal travel. You’ll manage various projects, tracking deadlines and milestones, and ensuring that every task is completed on time. You’ll help create and update internal and external communications, keeping them clear and concise. You’ll help with creating reports, presentations, and other materials, ensuring all content is accurate and professionally formatted. You’ll support the team with personal tasks, such as ordering gifts, managing subscriptions, and arranging personal errands as needed. You’ll coordinate virtual meetings, ensuring all participants have the necessary information and materials in advance.

Basic Qualifications:

  • Coordinate travel arrangements, bookings, and itineraries with an eye for detail and timing.
  • Act as a gatekeeper by handling incoming requests, filtering noise, and protecting focused work time.
  • Anticipate needs—if you know there’s a meeting tomorrow, prep the agenda today.
  • Speak up with ideas for better workflows or time management—you’re a partner, not just a task robot.
  • Take notes during meetings, prepare summaries, and track follow-ups to make sure nothing slips through the cracks.

Preferred:

  • Can take vague instructions and turn them into actionable steps or tasks.
  • Comfortable with tools like Google Workspace, Microsoft Office, Notion, Trello, or Slack.
  • Experience managing calendars, scheduling meetings, and handling email correspondence.
  • Capable of handling last-minute changes or unexpected requests calmly.
  • Pays attention to details and double-checks work for accuracy before submitting.
