Description:

We’re hiring a Secretary Intern who’s ready to build essential office skills while contributing to a professional, fast-paced environment. You’ll start by assisting with scheduling meetings, preparing agendas, and learning how to manage a busy calendar. You’ll assist in creating memos, organizing files, and entering data accurately into internal systems. You’ll be trained to handle incoming and outgoing mail, prepare basic correspondence, and format documents for internal and external use. You’ll assist with drafting emails, proofreading documents, and maintaining digital and paper records. You’ll learn how to prepare meeting rooms, manage guest check-ins, and take minutes during internal meetings. You’ll learn how to speak with confidence and professionalism — both on the phone and in written communications. You’ll support team leaders with small tasks like printing, copying, organizing folders, or preparing reports. You’ll work closely with multiple departments, gaining exposure to different workflows and office cultures.

Basic Qualifications:

  • Build trust with your team by being reliable, respectful, and solutions-oriented.
  • Uphold a calm, courteous presence even in a fast-paced, demanding environment.
  • Organize travel arrangements, including flights, hotels, and transportation if needed.
  • Keep sensitive information confidential and follow all company data handling policies.
  • Answer phone calls, route them to the right person, or take clear and concise messages.

Preferred:

  • Capable of adapting to shifting priorities and assisting multiple departments or managers as needed.
  • Experience providing administrative or clerical support in an office, school, clinic, or legal setting.
  • Wants to grow into roles like Executive Secretary, Office Manager, or Administrative Coordinator.
  • Familiar with using CRM systems, HR software, or document management platforms.
  • Comfortable prioritizing tasks, meeting deadlines, and managing interruptions throughout the workday.
