Description:

We’re looking for a Receptionist Trainee who brings a positive attitude, a willingness to learn, and a genuine interest in helping people feel welcome. You’ll start by learning the essentials — answering calls, greeting visitors, and managing daily front desk routines. You’ll be the first point of contact for visitors, learning how to create a welcoming, helpful atmosphere from the moment someone walks in. You’ll assist in answering phone calls, transferring them politely, and taking messages when needed. You’ll help make guests feel welcome by offering directions, refreshments, or just a friendly conversation while they wait. You’ll learn to juggle multiple priorities — a ringing phone, a delivery at the door, and a last-minute request from a colleague. You’ll get comfortable using office equipment like printers, scanners, and phone systems. You’ll practice multitasking — managing walk-ins, calls, and tasks while staying composed and friendly. You’ll support daily administrative routines like filing, scanning, and data entry with attention to detail.

Basic Qualifications:

  • Manage the front desk area by keeping it clean, organized, and presentable at all times.
  • Respond to emails, inquiries, or walk-in questions with accurate information and a helpful tone.
  • Maintain visitor logs, issue badges if required, and ensure guests are signed in and out.
  • Assist with administrative tasks such as filing, data entry, and printing documents as needed.
  • Support other departments with ad hoc tasks or errands to help daily operations run smoothly.

Preferred:

  • Organized in maintaining a tidy reception area and managing administrative supplies or front-desk inventory.
  • Understands safety protocols and procedures for signing in guests or handling emergencies.
  • Excellent communication skills, both verbal and written, with a friendly and professional demeanor.
  • Pays attention to appearance, punctuality, and representing the company’s image with professionalism.
  • Proficient in using office tools such as multi-line phones, printers, scanners, and scheduling software.
