Description:

We’re looking for a Reception Manager who doesn’t just greet people — you make them feel like they’ve come to the right place. You’ll be the face of the company, greeting guests, clients, and team members with a welcoming smile and efficient support. Every smile, every greeting, every offered cup of coffee will be part of the experience you shape. You’ll manage a team of receptionists and ensure the front-of-house runs like a well-oiled machine. With you at the helm, the reception area becomes more than a waiting space — it becomes a statement of who we are. You’ll handle guest logistics, room coordination, phone traffic, deliveries, and the pulse of daily activity — often all at once. When a client is late, a CEO drops in unannounced, or the fire alarm decides to go off — you keep things cool, composed, and moving. You’ll optimize schedules, improve systems, and ensure reception processes are both smooth and scalable. You’ll interface with leadership and admin teams, balancing people skills with operational rigor.

Basic Qualifications:

  • Update reception manuals and SOPs regularly to reflect changes in policy, tools, or visitor protocols.
  • Coordinate courier pickups, incoming mail, and package distribution across departments efficiently.
  • Handle minor technical issues related to phones, badge printers, or check-in tablets—escalating to IT when necessary.
  • Manage and train a team of receptionists or front desk staff—assigning shifts, setting expectations, and supporting performance development.
  • Ensure compliance with safety protocols, emergency response procedures, and health policies—especially in high-traffic or public-facing areas.

Preferred:

  • Experience managing front desk operations in hospitality, corporate, or medical settings.
  • Experienced in working with maintenance, security, or facilities teams for smooth coordination.
  • Pays attention to cleanliness, signage, and branding across reception and waiting areas.
  • Willing to assist in onboarding new hires by preparing welcome materials or office tours.
  • Open to supporting internal events, meetings, and team logistics if needed.

Benefits:

  • We treat reception as essential — not just a desk, but the heart of the space.
  • People will know your name, trust your word, and count on your support.
  • Flexible shifts or hybrid setup depending on the workplace — we respect life beyond the front desk.
  • We provide systems, scripts, and processes — but your warmth makes it personal.
  • Training included — conflict resolution, professional communication, and hospitality best practices.

You’re the type who notices when the flower arrangement is off or the coffee machine is empty — and acts before anyone else. You’ll maintain high standards in presentation — from the reception area’s cleanliness to your team’s appearance and tone. You see patterns in the noise — spotting issues before they happen and implementing small changes that make a big impact. You’ll track visitor data, manage security protocols, and ensure the space runs efficiently and safely. You’ll track visitor data, manage vendor relationships, and keep everything from supplies to signage under control. You’re equally at ease chatting with a delivery driver or preparing the lobby for a VIP investor visit. People rely on you not just for directions, but for reassurance — and you deliver it with style and substance. If you’re passionate about service, leadership, and making every guest feel like a VIP — this role is for you. If you believe that hospitality is a leadership skill and not just a job, we want you leading our front line.
