Description:

We’re hiring a Receptionist Trainee who wants to build real-world office experience while being the friendly face that greets everyone who walks through the door. As the face of our workplace, you’ll help ensure that every guest, client, or delivery person is greeted with courtesy and clarity. You’ll be the first point of contact for visitors, learning how to create a welcoming, helpful atmosphere from the moment someone walks in. You’ll assist in answering phone calls, transferring them politely, and taking messages when needed. You’ll help coordinate meeting schedules, reserve rooms, and make sure the lobby is always clean and welcoming. You’ll learn how to juggle tasks while maintaining a polite, welcoming attitude — even when things get hectic. You’ll be taught how to manage incoming mail and deliveries, and notify the correct departments quickly. You’ll help make the reception area look professional — tidy, stocked with materials, and always presentable. You’ll assist with updating visitor records, tracking attendance logs, and preparing materials for meetings or interviews.

Basic Qualifications:

  • Ensure all communications—written or verbal—represent the company in a professional manner.
  • Manage multi-line phone systems, voicemail messages, and call forwarding settings efficiently.
  • Direct clients or vendors to the correct office, meeting room, or team member.
  • Follow daily checklists or opening/closing procedures to maintain front desk operations.
  • Assist with administrative tasks such as filing, data entry, and printing documents as needed.

Preferred:

  • Comfortable managing appointments, calendars, and visitor logs with accuracy and attention to detail.
  • Pays attention to appearance, punctuality, and representing the company’s image with professionalism.
  • Organized in maintaining a tidy reception area and managing administrative supplies or front-desk inventory.
  • Can maintain confidentiality regarding sensitive visitor or internal information.
  • Experience working at a front desk or customer-facing administrative role in an office, clinic, hotel, or service setting.
