We’re looking for an Administrative Assistant who’s detail-obsessed, highly dependable, and thrives in a fast-paced environment. You’ll be the go-to person for scheduling, emails, document prep, and all the little things that make a big difference. Your ability to prioritize and juggle multiple responsibilities will keep our team running at full speed. You’ll work closely with different departments, making communication smoother and more effective. You’re the kind of person who remembers birthdays, follows up without being asked, and keeps everything one step ahead. When things get busy, you stay calm, organized, and focused on priorities. You’ll create reports, update records, and keep documents in order without missing a beat. If there’s a better way to organize something, you’ll be the one to find it. Basic Qualifications:
- Manage conference room bookings, guest logistics, or meeting prep (agendas, minutes, follow-ups).
- Support remote, hybrid, or in-office teams—flexibility is key depending on the environment.
- Support internal operations by ordering office supplies, coordinating deliveries, and maintaining vendor contact lists.
- Draft and proofread memos, internal announcements, or external communications for clarity and professionalism.
- Answer phone calls and emails professionally, directing inquiries to the appropriate team members and following up when needed.
Preferred:
- Willing to learn internal systems and adapt quickly to new software or protocols.
- Can manage travel arrangements, expense tracking, and basic invoicing tasks.
- Background or interest in business administration, operations, or organizational support.
- Comfortable taking meeting notes, sending follow-ups, and tracking deadlines.
- Experience supporting virtual or hybrid teams and coordinating across time zones.
