Description:
We’re looking for a Receptionist Trainee who’s eager to learn the rhythm of a front desk and become a calm, confident point of contact for our team and visitors. As the face of our workplace, you’ll help ensure that every guest, client, or delivery person is greeted with courtesy and clarity. You’ll be coached on how to maintain a calm and helpful tone, even when the phone won’t stop ringing or someone walks in without an appointment. You’ll support calendar coordination, visitor sign-ins, and light admin tasks like printing, organizing, or updating checklists. You’ll assist with organizing files, updating spreadsheets, and keeping digital records accurate and secure. You’ll help manage email inboxes, print documents, and keep the reception area tidy and professional. You’ll get comfortable using office equipment like printers, scanners, and phone systems. You’ll learn how to manage time, stay calm under pressure, and prioritize tasks during the busy parts of the day. You’ll develop your ability to stay calm under pressure — whether that’s a crowded lobby or back-to-back phone calls.
Basic Qualifications:
- Coordinate deliveries, accept packages, and notify team members of incoming shipments.
- Handle sensitive or confidential information with discretion and integrity.
- Handle emergency situations responsibly, including knowing who to contact and what procedures to follow.
- Balance multitasking with attention to detail in a fast-paced environment.
- Keep track of office supplies and notify management when it’s time to reorder.
Preferred:
- Willing to assist with onboarding guests, issuing visitor badges, and maintaining a welcoming atmosphere.
- Willing to support HR, operations, or executive assistants with light clerical tasks when available.
- Comfortable managing appointments, calendars, and visitor logs with accuracy and attention to detail.
- Familiar with handling email correspondence, booking meeting rooms, and processing mail or deliveries.
- Can maintain confidentiality regarding sensitive visitor or internal information.
