Description:

We’re searching for an Administrative Assistant who’s sharp, reliable, and ready to keep the office running like clockwork. You’ll manage calendars, coordinate meetings, and ensure that schedules stay aligned and conflicts are avoided. From answering calls to organizing documents, your role keeps things efficient and professional. You’ll be the first point of contact for both internal staff and external guests, always presenting a professional tone. You’re the kind of person who remembers birthdays, follows up without being asked, and keeps everything one step ahead. You can juggle multiple tasks, switch priorities quickly, and still meet every deadline. You’ll help prepare presentations, proofread documents, and make sure the details are flawless. Your communication skills are on point — friendly, clear, and professional in every message. You’ll support multiple people, but somehow make each of them feel like your top priority.

Basic Qualifications:

  • Update databases, CRMs, or spreadsheets regularly to ensure accurate information across departments.
  • Support senior leadership with confidential tasks and ensure sensitive information is handled with discretion.
  • Ultimately, keep everything running smoothly behind the scenes so the team can stay focused on what they do best.
  • Assist in onboarding new employees by preparing documentation, setting up accounts, and scheduling orientation meetings.
  • Draft and proofread memos, internal announcements, or external communications for clarity and professionalism.

Preferred:

  • Understands how to maintain confidentiality and handle sensitive information appropriately.
  • Experience supporting virtual or hybrid teams and coordinating across time zones.
  • Knows how to prioritize urgent tasks and communicate delays or changes professionally.
  • Organized in managing task lists, recurring checklists, and internal processes.
  • Comfortable with data entry, filing systems, and maintaining digital and physical records.
