Description:
We’re looking for a Receptionist Trainee who brings a positive attitude, a willingness to learn, and a genuine interest in helping people feel welcome. You don’t need previous experience — just a warm smile, clear communication skills, and a commitment to showing up on time. You’ll learn to handle multiple incoming calls, transfer them accurately, and speak with a tone that builds trust. You’ll practice answering the phone with professionalism, transferring calls accurately, and writing clear, concise messages. You’ll assist with organizing files, updating spreadsheets, and keeping digital records accurate and secure. You’ll help organize paperwork, handle light data entry, and support email communication for the front desk. You’ll get comfortable using office equipment like printers, scanners, and phone systems. You’ll gain experience using booking systems, shared calendars, and office software like Microsoft Word and Excel. You’ll work closely with HR, office management, and sometimes even company leadership — learning how communication flows in a real business.
Basic Qualifications:
- Respond to emails, inquiries, or walk-in questions with accurate information and a helpful tone.
- Direct clients or vendors to the correct office, meeting room, or team member.
- Manage multi-line phone systems, voicemail messages, and call forwarding settings efficiently.
- Follow daily checklists or opening/closing procedures to maintain front desk operations.
- Manage the front desk area by keeping it clean, organized, and presentable at all times.
Preferred:
- Enjoys supporting teams and creating a smooth, professional experience for visitors and employees.
- Open to learning software tools such as MS Office, Google Workspace, CRM systems, or booking platforms.
- Comfortable managing appointments, calendars, and visitor logs with accuracy and attention to detail.
- Able to greet guests, answer phone calls, and direct inquiries to the appropriate person or department.
- Wants to grow into roles like Office Manager, Executive Assistant, or Client Services Coordinator.
