Description:

We’re looking for an Event Coordinator who understands that a successful business event is built on structure, timing, and absolute reliability. If you’re the one your classmates asked to “just make a Google Doc,” or the person who handled the whole graduation party while smiling — we’re talking to you. You’ll work closely with artists, performers, designers, and producers to make creative ideas real — on time and within budget. From immersive exhibitions to rooftop gatherings, you’ll map the logistics that make magic feel seamless. You’ll help build run sheets, checklists, vendor trackers, and learn the real difference between “starting on time” and “actually flowing. You’ll build detailed run-of-show documents, production schedules, and contingency plans that keep things on track — even when surprises arise. You’ll learn how to write professional emails, follow up with venues, check floor plans, and spot issues before they become problems. You’ll work with tools like Google Sheets, Trello, Notion, or Asana — and get used to using emoji in comments and highlighters in documents. You’ll manage RSVPs, registrations, check-ins, and follow-ups using event management software and CRM tools.

Basic Qualifications:

  • Ultimately, turn ideas into memorable, well-run events that deliver value, excitement, and connection.
  • Create contingency plans and backups for key elements such as weather, speaker cancellations, or tech failures.
  • Track event budgets, process invoices, and monitor expenses to avoid overruns while maximizing quality and impact.
  • Maintain an organized archive of past event details—contacts, budgets, photos, and timelines—for reference and future planning.
  • Communicate with vendors to confirm deliveries, payments, and logistics—resolving last-minute issues calmly and professionally.

Preferred:

  • Open to traveling or working evenings/weekends depending on event schedules.
  • Pays attention to attendee experience, flow of the event, and brand consistency.
  • Collaborates well across departments like marketing, HR, or business development to meet event goals.
  • Thrives in fast-paced environments where multitasking and precision are key.
  • Experience assisting in the planning and execution of corporate, social, or virtual events.
