Description:
We’re looking for an Event Coordinator who thrives on logistics, creativity, and making sure nothing falls through the cracks — ever. You may not have run your own event yet, but you’re the kind of person who notices when a sign is crooked, a mic goes quiet, or the snacks run low — and steps in to fix it. You may not have agency experience yet, but your instinct for planning, timing, and problem-solving already sets you apart. You’ll help build guest lists, update schedules, manage spreadsheets, and learn how many tiny moving parts go into one polished moment. You’ll attend vendor meetings, site visits, and prep sessions where you’ll see how we choose venues, negotiate contracts, and build production timelines. You’ll get to know what makes a good event team — communication, anticipation, clarity, and a little sense of humor when things go sideways. You’ll lead walkthroughs with a vision and a clipboard, always knowing how to translate chaos into clarity. You’ll sketch room layouts, test lighting angles, and debate over which color tape works best on black floor tiles. You’ll help manage logistics: printing badges, organizing supplies, coordinating couriers, prepping event kits — and yes, sometimes taping down cables.
Basic Qualifications:
- Maintain an organized archive of past event details—contacts, budgets, photos, and timelines—for reference and future planning.
- Prepare and distribute event materials such as name badges, programs, agendas, signage, or welcome kits.
- Represent the brand or organization professionally—making sure all touchpoints reflect quality and attention to detail.
- Coordinate staffing—scheduling volunteers, ushers, tech support, or contracted staff as needed for smooth operations.
- Work across formats: in-person, virtual, hybrid—adapting event strategies and tools (e.g., Zoom, Hopin, Whova) accordingly.
Preferred:
- Can assist with on-site or virtual registration, signage, and guest communication.
- Background or interest in event planning, hospitality, PR, or marketing coordination.
- Strong organizational skills and attention to detail when managing multiple event elements.
- Collaborates well across departments like marketing, HR, or business development to meet event goals.
- Wants to grow into roles like Event Manager, Brand Experience Lead, or Conference Producer.
