Description:

We’re looking for a highly organized Virtual Assistant to provide administrative and operational support to our remote team. You’ll be responsible for scheduling meetings, managing calendars, and ensuring appointments are organized and never missed. You’ll handle email management, responding to inquiries, organizing the inbox, and prioritizing messages as needed. You’ll handle document organization, data entry, and maintaining digital filing systems for easy access to important information. You’ll assist with research tasks, gathering information on various topics to support business initiatives. You’ll handle customer service tasks, responding to inquiries, resolving issues, and ensuring client satisfaction. You’ll help maintain a system for tracking expenses, invoices, and managing financial documents with accuracy. You’ll help organize company events, meetings, and webinars, ensuring that all logistics are planned and executed smoothly. You’ll assist with creating presentations, reports, and other materials to support the team’s objectives and initiatives.

Basic Qualifications:

  • Be ready to jump in where needed—every day may bring something slightly different, and flexibility is part of the job.
  • Help organize meetings by preparing agendas, sending Zoom links, and taking notes when required.
  • Ultimately, become a reliable, efficient behind-the-scenes partner who helps everything run just a little more smoothly.
  • Proofread documents, format presentations, or draft simple emails and social posts when needed.
  • Follow instructions carefully while also showing initiative when you spot room for improvement.

Preferred:

  • Able to adapt quickly to new tools or systems as needed by the client.
  • Understands how to handle confidential information with professionalism and discretion.
  • Can support basic customer service, invoicing, or CRM updates.
  • Background or interest in business support, operations, admin, or remote work systems.
  • Experience preparing reports, summaries, or presentations from raw data is a plus.
