Description:
We’re looking for an Event Coordinator who understands that a successful business event is built on structure, timing, and absolute reliability. If you’re the one your classmates asked to “just make a Google Doc,” or the person who handled the whole graduation party while smiling — we’re talking to you. You’ll manage timelines, vendor communication, budgets, and floorplans like a pro with a clipboard and a Plan B (and C). You’ll turn vague ideas into real schedules, real venues, and real moments people remember. You’ll source venues, negotiate pricing, and coordinate catering, tech, staffing, and transportation with efficiency and professionalism. ” You’ll shadow real coordinators and support projects like conferences, networking events, community pop-ups, or brand launches. You’ll lead walkthroughs with a vision and a clipboard, always knowing how to translate chaos into clarity. You’ll sketch room layouts, test lighting angles, and debate over which color tape works best on black floor tiles. You’ll help manage logistics: printing badges, organizing supplies, coordinating couriers, prepping event kits — and yes, sometimes taping down cables.
Basic Qualifications:
- Remain calm under pressure—event day is fast-paced, and flexibility is key to success.
- Maintain an organized archive of past event details—contacts, budgets, photos, and timelines—for reference and future planning.
- Ensure compliance with local regulations, permits, insurance requirements, and safety standards for all event types.
- Handle on-the-ground decision-making during events—problem-solving quickly when faced with weather issues, technical glitches, or vendor delays.
- Gather post-event feedback through surveys, debriefs, or analytics to identify areas for improvement and measure success.
Preferred:
- Strong organizational skills and attention to detail when managing multiple event elements.
- Comfortable coordinating with vendors, venues, speakers, and internal teams.
- Background or interest in event planning, hospitality, PR, or marketing coordination.
- Knows how to stay calm under pressure and adapt to last-minute program changes.
- Comfortable resolving issues quickly and professionally during live events.
