Description:

We’re looking for an Event Coordinator Intern who’s ready to learn how unforgettable experiences are built — one checklist, call, and timeline at a time. You’ll plan and execute events that aren’t just organized — they’re inspired, unexpected, and deeply felt. You may not have agency experience yet, but your instinct for planning, timing, and problem-solving already sets you apart. You’ll turn vague ideas into real schedules, real venues, and real moments people remember. You’ll find beauty in the details: badge design, lighting temperature, the exact moment the music starts — it all matters to you. You’ll build detailed run-of-show documents, production schedules, and contingency plans that keep things on track — even when surprises arise. You’ll learn how to write professional emails, follow up with venues, check floor plans, and spot issues before they become problems. You’ll sketch room layouts, test lighting angles, and debate over which color tape works best on black floor tiles. You’ll manage RSVPs, registrations, check-ins, and follow-ups using event management software and CRM tools.

Basic Qualifications:

  • Coordinate with clients, internal teams, or stakeholders to understand event objectives, goals, and expectations.
  • Create contingency plans and backups for key elements such as weather, speaker cancellations, or tech failures.
  • Monitor RSVP trends and send reminders or updates to ensure strong attendance and guest engagement.
  • Work across formats: in-person, virtual, hybrid—adapting event strategies and tools (e.g., Zoom, Hopin, Whova) accordingly.
  • Remain calm under pressure—event day is fast-paced, and flexibility is key to success.

Preferred:

  • Understands how to source materials, negotiate contracts, and handle last-minute changes.
  • Pays attention to attendee experience, flow of the event, and brand consistency.
  • Capable of managing logistics such as catering, transportation, AV setup, and decor.
  • Able to support both intimate meetings and larger conferences, launches, or networking events.
  • Experience assisting in the planning and execution of corporate, social, or virtual events.
