Description:

We’re hiring an Event Coordinator who sees space, sound, light, and people as raw materials for unforgettable experiences. You’ll plan and execute events that aren’t just organized — they’re inspired, unexpected, and deeply felt. You’ll manage timelines, vendor relationships, contracts, and budgets — and keep everything aligned with business objectives. You’ll join our team to learn how real events are built — from internal brainstorms to final wrap-up reports. You’ll handle the not-so-glamorous stuff — permits, checklists, catering allergies — with just as much passion as the stage design. You’ll build detailed run-of-show documents, production schedules, and contingency plans that keep things on track — even when surprises arise. You’ll lead walkthroughs with a vision and a clipboard, always knowing how to translate chaos into clarity. You’ll quickly see that great events are 20% creativity and 80% knowing what could go wrong and fixing it before it does. You’ll manage RSVPs, registrations, check-ins, and follow-ups using event management software and CRM tools.

Basic Qualifications:

  • Prepare and distribute event materials such as name badges, programs, agendas, signage, or welcome kits.
  • Gather post-event feedback through surveys, debriefs, or analytics to identify areas for improvement and measure success.
  • Support speakers, performers, or VIPs by coordinating transportation, accommodations, and hospitality details.
  • Coordinate with clients, internal teams, or stakeholders to understand event objectives, goals, and expectations.
  • Track event budgets, process invoices, and monitor expenses to avoid overruns while maximizing quality and impact.

Preferred:

  • Open to traveling or working evenings/weekends depending on event schedules.
  • Comfortable resolving issues quickly and professionally during live events.
  • Can assist with on-site or virtual registration, signage, and guest communication.
  • Understands how to source materials, negotiate contracts, and handle last-minute changes.
  • Comfortable coordinating with vendors, venues, speakers, and internal teams.

Benefits:

  • If you love planning, anticipating, and pulling off the impossible — this is your playground.
  • We trust you to make judgment calls when things shift last minute — because they always do.
  • We offer hybrid/remote flexibility where possible — because burnout isn’t a badge of honor here.
  • Flexible schedule depending on event cycles — some days are calm, others are adrenaline-filled (and we plan for both).
  • We provide planning tools, templates, and team support — but your organization and people skills make the magic happen.

You’ll collect post-event feedback and help translate learnings into even stronger events in the future. You’ll liaise with marketing to ensure branding, messaging, and visuals are aligned across the full attendee experience. You’ll receive hands-on mentorship, feedback, and a safe space to make mistakes, ask questions, and gain real experience. You’ll be surprised how much you learn in the first month — about structure, pressure, teamwork, and how to make chaos look effortless. You’ll work weekends and late nights when the event calls for it — and still feel proud when the last cable gets rolled up. You’ll reflect, debrief, and use every event to sharpen your instincts for rhythm, risk, and reward. You’ll own your calendar, your team, your clipboard, and your headset — and run the show with quiet confidence. If you love controlled chaos, beautiful details, and getting things done under pressure — we want you planning our next big moment.
