Description:

We’re offering a Secretary Internship to someone who wants to develop strong organizational and administrative skills in a real office environment. You’ll start by learning how to manage schedules, set reminders, and prepare materials for meetings or briefings. You’ll help answer phones, direct calls professionally, and make sure every message is passed on correctly and promptly. You’ll learn to prioritize tasks, stay calm under time pressure, and manage multiple assignments with attention to detail. You’ll observe how to prioritize tasks, manage daily checklists, and keep work flowing even during busy hours. You’ll help set up for meetings by printing materials, arranging rooms, and taking accurate meeting notes when needed. You’ll receive training on professional phone and email etiquette, and you’ll begin applying those skills from your first week. You’ll support document control by updating databases, naming files clearly, and keeping records consistent and accessible. You’ll learn how to stay organized across multiple requests and how to create checklists that actually work in practice.

Basic Qualifications:

  • Track office supplies and place orders to ensure everything runs smoothly day to day.
  • Screen and prioritize incoming communications to reduce distractions for leadership.
  • Keep sensitive information confidential and follow all company data handling policies.
  • Handle incoming and outgoing emails, prioritizing urgency and ensuring timely responses.
  • Ensure deadlines are met by proactively reminding others and managing shared calendars.

Preferred:

  • Comfortable prioritizing tasks, meeting deadlines, and managing interruptions throughout the workday.
  • Can assist in onboarding new employees by preparing documents, IDs, and orientation materials.
  • Familiar with basic bookkeeping, invoice preparation, and maintaining office expense records.
  • Proficient in using office software such as Microsoft Word, Excel, Outlook, and Google Workspace.
  • Thrives in detail-oriented, fast-paced environments where coordination and structure matter.
